"01. What’s this “Open” button that I see in the upper right corner and, more importantly, where’s my Bookmark Bar?

 

  • The “Open” button is an idea that Lotus is introducing to save some space on small screens. 
  • You can get the “Bookmark Bar” back by [Right Clicking] on the “Open” button and [Clicking] ”Dock the Open List”. 
  • You can make the icons bigger in the Bookmark Bar by [Right Clicking] on an empty space of the Bookmark Bar and [Clicking] “Use Large Icons”.
     

02. Every time I start Lotus Notes, I see this ”Getting Started Screen”. How do I get rid of it? And where’s the usual Corporate Welcome page?
 

  • The “Getting Started” page is simply there to explain some parts of the new interface in Lotus Notes R8.5.1.
  • You can close it by [Clicking] on the “X”.
  • You can see it again by [Clicking] on the menu Help à Getting Started Page.
  • The “Corporate Welcome Page” tab now says “Home” instead of “Corporate Welcome Page”.
     

03. Where’s my Quota information? It used to be in the bottom left of of my inbox? Where is it now?
 

  • Lotus has moved the Mail Quota information to the top of the left side of the mail file to make some space for the “Follow-up” and “New Notices” panel.
  • The Quota now appears as a green bar (or red bar if you are near your quota) next to your server name on the left top side of your mail file.
  • If you put your mouse cursor over the green bar, a pop-up will appear with more information.
  • If you are using your mail file on local, there is a little icon of an enveloppe with a green bar next to your name on the left top side of your mail file. You must [Click] that icon to see your quota information.
       

04. My “Unread” email now appear in “Bold Black Text” instead of “Plain Red Text”? Can I change that?
 

  • Unread emails can now be either in “Bold black text” or “Plain Red text”.
  • You can select your preference by [Clicking] on the menu File → Preferences → Fonts and Color.
  • In the “Fonts and Color” screen, you can choose between “Bold black text” or “Plain Red text” in the “Unread mail indication” section.
  • In the “Fonts and Color” screen, you can also make the fonts a bit bigger by selecting an option in the “Font size” section.
  • [Click] on “Apply” and then [Click] on “OK” if you make changes to either the “Unread mail indication” or “Font size” section.
     

05. How can I turn off the “Instant Spell Check” when I’m writing emails? The red squiggly lines everywhere are driving me nuts!
 

  • Lotus Notes R8.5.1 has an “instant spell check” feature (like Microsoft Word) when writing new emails, calendar entries or documents in applications.
  • It can get confused if you write emails that “mix and match” languages (French and English or Spanish and English in the same email, for example).
  • You can turn it off by [Clicking] on the menu File → Preferences → Spell Check and removing the checkmark in the option “Enable Instant Spell Checking”.
  • If you removed the checkmark from the option “Enable Instant Spell Checking”, [Click] on “Apply” and then [Click] on “OK” to save the setting.
     

06. I have access to my colleague’s Mail File and/or Calendar. I can’t find the option to open it anymore! Where is it now?
 

  • The option to open your colleague’s mail file is in own your mail file, at the bottom left side after your list of folders, after the link to the archive and after the tools section.
  • So, basically, open your mail file and, on the left side [Scroll] all the way down past your list of folders, past the link to your archive and past the tools section: you will see the section “Other Mail”.
  • You can [Click] on “Other Mail” to see the options to open someone else mail file (you must first have access to that person’s mail file however).
  • To open your colleague’s calendar, open your calendar and, on the left side, scroll down past the calendar views and you will see “Show Calendars”.
  • For other people’s calendars, you will see a check box next to their name. If you [Click] the check box, it will display (not add) that person’s calendar on top of your own calendar (this can be useful).
  • If you want to open the other person’s calendar in a new tab, [Right Click] on their name and [Click] “Open in New Tab”.
     

07. The Sametime client is really nice in R8.5.1! But when someone chats with me, the chat window always appear in front of all my other windows! Can I change that?
 

  • Yes, you can change it. [Click] on the menu File → Preferences.
  • In the Preferences screen, [Click] on the “+” sign in front of the Sametime category.
  • In the “Sametime” category, [Click] on “Notification”.
  • On the right side of the panel, [Click] on “One-on-One Chat”. The panel might “move” and you’ll have to scroll left to see the next option.
  • Look to see if there’s a check box on the “Bring chat window to front” option. If it’s checked, [Click] on it to remove it.
  • [Click] on “Apply” and then [Click] on “OK”.
     

08. The Sametime client also makes sounds now in R8.5.1! When someone starts a chat with me, my computer makes a sound. It annoys my co-workers. How can I turn that off?
 

  • [Click] on the menu File → Preferences.
  • In the Preferences screen, [Click] on the “+” sign in front of the Sametime category.
  • In the “Sametime” category, [Click] on “Notification”.
  • On the right side of the panel, [Click] on “One-on-One Chat”. The panel might “move” and you’ll have to scroll left to see the next option.
  • Look to see if there is a check box on the “Play a sound” option. If it’s checked, [Click] on it to remove it.
  • [Click] on “Apply” and then [Click] on “OK”.
     

09. My Sametime Contact List used to be at the bottom in Lotus Notes R7, can I put it back at the bottom of my screen in Lotus Notes R8.5.1?
 

  • Yes, you can put the Sametime Contact list at the bottom of your screen instead of having it embedded into the right side.
  • To “detach” the Sametime Contact list, [Right Click] where it says “Sametime Contacts” (i.e. the title bar of the Sametime Contact List) and [Click] on “Open in New Window”.
  • The Sametime Contact List will now appear at the bottom of your screen.
  • If you close the Sametime Contact List at the bottom of your screen, it will return to the side bar on the right side of your screen.
     

10. Lotus Notes R8.5.1 automatically logs me into Sametime … I don’t want that! Can I change it?
 

  • Yes, you can tell Lotus Notes to *not* log you into Sametime when it starts.
  • [Click] where it says “Available” at the top of your Sametime Contact list.
  • In the menu that appears, [Click] on “Manage Server Community …”
  • In the screen that appears, [Click] on “Automatically log in” to remove the checkmark.
  • [Click] on “Apply” and then, [Click] on “OK”."


Ограничаване на достъпа до домино база през Web

 Ако имаме пуснато http на нашето домино много лесно можем да ограничим отварянето на базите които неискаме да се отварят през Web. Избираме десен бутон на базата - > Properties, В DataBase Basics таба цъкаме Don't Allow URL Open

Смяна на парола през интернет

 Един първите въпроси, които задава потребителя е "Как да си сменя паролата, за достъп през интернет ?". Единственото условие за това е потребителя да помни текущата си парола. В случая, когато я е забравил трябва да се свърже със системния администратор.

 

Когато искаме да сменим интернет паролата, било поради системна политика, задължаваща смяна на всеки 60 дни например, или поради съмнения за компрометиране, е необходимо да извършим следните няколко стъпки:

1. Влизаме през интернет браузер в пощата си:

Забележка: Ако влизаме за първи път е възможно да се появи събщение за сигурност, предупреждаващо потребителя за извършвани действия. Необходимо е да се избере "Allow", за да се продължи:

2. От менюто с действия, избираме "Preferences":

3. Отваряме секция "Security" и натискаме бутона "Change.." в началото на секцията, раздел "Change internet password":

 

4. В отворилия се прозорец въвеждаме старата парола, 2 пъти новата и потвърждаваме промяната.

 

5. При успешна промяна се извежда съобщение:

 

    Натискаме "ОК", за да затворим прозореца.

DAOS state NOTSYNCHRONIZED

 Който има пуснат DAOS на своя сървър сигурно е забелязъл при рестартирането на сървъра изписва съобщение "DAOS ....... Need ReSync".
Необходимо е да се пусне командата "tell daosmgr resync". Състоянието на DAOS можем да го проверяваме с командата "tell daosmgr status" и погледнем полето "CatalogState". Ако е SYNCHRONIZED всичко е ок, ако е Need Resync е необходимо да се изпълни командата "tell daosmgr resync".

Всичко това разбирасе можем да го автоматизираме, като пускаме тази команда един път седмично например.
През Domino Administrator-a отиваме на таба Configuration->Server->Programs. Избираме бутона AddProgram и попълваме полетата на документа.
Program Name:   server
Command Line:   -c "tell daosmgr resync"
Другите полета всеки сам може да си ги попълни в зависимост от предпочитанията и конфигурацията.

Как да изпълним комадата compact върху избрани от нас бази най лесно....

Когато на някой му се наложи да compact-ва само някои определени бази ето най лесния и удобен начин:

През Домино Администратора отиваме на таба File, маркираме папката mail - например и в дясно имаме доста опции по които можем да си сортираме пощенските бази. Маркираме тези които ни интересуват. От менюто Edit-Copy, пускаме ги в един екселси файл, извличаме си имената на базите - необходимо е да се пише следния път: mail\jvichev.nsf. Правим си нов файл с разширение FileName.IND, слагаме описаните бази в него като спазваме следната процедура:

на един ред от файла(FileName.IND) да има описана само една база. Например:


mail\jvichev.nsf
mail\test.nsf
.....
enddatabase.nsf

След като имаме файла с описанието на базите които искаме да компактнем, копираме го в Data директорията на сървъра и изпълняваме командата през конзолата "load compact FileName.IND -c"

Защо Lotus Notes-а ми е бавен?!

Доста  често чувам упрека, че Lotus Notes е бавен. Не че софтуерът е най-перфектното нещо на света, но все пак не можем директно да правим заключения преди да сме проверили дали нещо друго не е причината за това. Ето, че намерих един полезен пост на колегите от e-productivity за Lotus Notes, които доста подробно са описали какви може да са причините Lotus Notes да върви бавно. И чак след като сме се уверили, че всички тези неща са изрядни, тогава можем да преминем към някои от тънкостите на Lotus администраторите, за да накараме Lotus Notes да работи по-бързо.
Авторът разделя прчините на три:

  • System
  • Lotus Notes
  • User Data


"I. SYSTEM
There's no question that better and faster hardware will [usually] lead to better overall performance at the desktop. But, not everyone can run out and replace their hardware. Still, it's valuable to understand the system elements that will affect your performance. these include:

CPU and RAM Memory - the speed of the processor and amount of available memory will always play a huge part in determining overall performance. Often, big leaps in performance can be gained simply be adding additional memory to the system. An $80 investment in memory chips can save hours each week. Bottom line: the more memory your system has available, the less time it will spend swapping memory to disk.

# of applications running - Each time you open an application, additional system memory is required. If your system does not have enough memory (RAM) it will swap to disk and you will be constrained by the speed of your disk. (See below). If you have lots of memory available, great - go ahead and open 20 applications. If not, consider closing a few windows.

Hard Drive Disk Speed - It goes without saying that the faster the disk the better overall performance. But every disk will run faster when the files are defragmented. Defragmenting optimizes the information on the disk so thet it can be located and retrieved as quickly as possible. This is something anyone can do and it doesn't cost a penny. I recommend running your disk defragmenter at least once a month. I run mine once a week and sometimes more often when I want higher performance. The less time the disk has to spend locating all of the parts of a file, the faster the response.

Disk Encryption - If you are running software that encrypts the contents of your disk, know that you are trading security for speed. Big time. Each time you read or write data it has to be encrypted/decrypted and you pay a penalty in speed. I usually recommend encrypting only a portion of the disk drive where sensitive documents are stored and, when possible, use hardware encryption. IF you do encrypt your hard drive, be sure to disable encryption in your Lotus Notes databases as you will pay a steep price for double encryption. (More on that later.)

Disk Space Available - it's important that you have sufficient disk space for swap files, temporary files, indexes, etc. I try not to exceed 60% of usable disk space.

OK, we've covered the system elements. Your key takeaway should be to use memory wisely and defragment your disks regularly. Now, let's take a look at Lotus Notes...

II. LOTUS NOTES

Basic or Standard Mode? - Lotus Notes 8.x provides many powerful and productive new features but if you are running on an older system it may slow to a crawl. If you are running Notes 8.x and your system does not meet IBM's recommended minimum requirements , consider running in "Basic" mode instead of "Standard" mode. This will speed things up until you can get faster hardware.

Database Encryption - Lotus Notes databases can be encrypted. The good news is that the encryption is hidden from the user and the entire process is transparent to the user. Well, mostly. When you enable encryption on a Notes database, every read or write needs to be processed by the encryption software and this can slow down performance. For laptops, I recommend using medium encryption; for desktops, I usually turn off encryption. In any case, if you encrypt your Notes data, do not also encrypt the disk drive that it's stored on. if you do, your system will be come painfully slow, as every read or write must be encrypted not once but twice. Did I mention that encryption will slow down your system? It's a tradeoff between security and performance.

Local or Server Replica? - With few exceptions, my experience has been shown a local replica will almost always outperform a server replica. When you use a local replica you are not constrained by the speed or congestion of your network or internet connection. This becomes even more relevant if you are using WiFi, a wireless WAN card, or a VPN connection. Bottom line, for maximum performance, I always recommend using a local replica. The good news is that you can set this up in 2 minutes and then forget about it while Lotus Notes handles the details.

Full-Text Index, or Not? - Lotus Notes can build a full-text index of all of the information in a Notes database, including information contained inside most file attachments. This is an easy way to speed up performance. When full-text indexing is enabled, Notes has less work to do to find the information you seek. Bottom line: for faster performance, always turn on full-text indexing, especially on your mail file.

OK, we've covered the Lotus Notes elements. Your key takeaway should be to use a local replica, with full-text indexing enabled, and the lowest level of encryption needed. Now, let's look at your data...

III. USER DATA

There are several elements of user data that work together to determine the performance you will receive when using Lotus Notes. This is especially true when using your mail file (which, as I explained, also contains calendar and tasks and more...). Let's look at these in greater detail:

File Size - In Lotus Notes, all of the data and applications are stored in a file on disk, often known as an .NSF file. While there's no practical limit to the size of this file, there are some things you need to know - especially when it comes to the size of your mail file. The first thing to know is that your Lotus Notes mail file doesn't contain just mail. It also contains your calendar and tasks. Also, it may contain contacts and journal/notebook entries if you sync these to your mail file. The point is, there's a lot going on in your mail file and it is constantly accessed during the course of the day. The smaller you can keep your file sizes, the better. I like to keep current information in my mail file and I archive old information when possible. This helps me keep my mail file size down and my system running as fast as possible.

# Documents - It almost goes without saying that the more documents (emails/calendar/tasks/attachments, etc) that you have in your database the more that needs to be processed. I'm a pack rat and I like to keep lots of history, but I don't keep it all in my mail file. (That's what archives are for.) For faster performance, store all you need to (or are permitted to) and no more. Don't be afraid to use the delete key.

# Folders & Views - Folders and Views are powerful features of Lotus Notes that allow you to organize and view the contents of a Notes database in different way. Used appropriately, these can greatly boost your productivity. At the same time, it's important to create only the folders and views that you need. Creating custom views is beyond the reach of most users so I will talk about folders instead. A folder is a collection of documents in a Notes database. Each time you open a folder, it must review and collect the documents it needs to show you. The more folders and documents to process the longer it can take. I'm just say'n. One more thing: if you sync your mail file to a PDA or smartphone, some of these devices may have limits on the number of folders that will sync. For example, some BlackBerry devices/software will not sync more than 255 folders.

eProductivity Enabled? - If you are using eProductivity for IBM Lotus Notes, then several additional views will be added to your mail file. These views allow eProductivity to filter and present only the relevant information to you when you need to see it. This productivity comes at a small price in terms of system performance, as eProductivity needs to scan through your mail file to find the relevant information. If you are running on a local replica and your Lotus Notes is already running fast, then this will be barely noticeable. On the other hand, if you are running on a server replica or if your Lotus Notes is already running slow for any of the reasons mentioned above, your performance could slow dramatically. The good news, is that there are many things that you can do to easily and quickly boost your performance and productivity.

File Attachments  - Email is an easy way to exchange files with others, but it's not the best place to store them. I won't lecture you on what you should/should not store in your mail file here, but I will remind you that large file attachments will slow down your system. For most Notes databases, this is barely noticeable, but in your mail file, where performance is important, I recommend deleting or archiving any file attachments that you do not need to have in your mail file."
